School Administrator Apprentice


The postholder is part of the Support Team and provides general clerical and administrative support to the school. Under the direction/instruction of senior staff: provide routine general clerical, administrative, financial support to the school. PRINCIPAL ACCOUNTABILITIES: Main Tasks/Duties/Responsibilities Administration To assist with reproducing work including enlarging, reducing, creating booklets, programmes, worksheets, binding of documentation and laminating to a high standard. To operate various machinery including photocopiers, binders, laminators, etc, and to acknowledge and adhere to the health and safety requirements. Undertake reception duties, answering routine telephone and face to face enquiries and signing in visitors. Provide routine clerical support e.g. photocopying, filing, faxing, emailing, complete routine forms. Undertake typing, word-processing and other IT based tasks. Sort and distribute mail. Undertake routine administration e.g. registers/school meals. Answer telephones in a polite and friendly manner Assist the Finance department Provide assistance to the Examinations Department and Attendance Officer Resources Operate office equipment e.g. photocopier, computer. Arrange orderly and secure storage of supplies. Responsibilities Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person. Be aware of and support difference and ensure equal opportunities for all. Contribute to the overall ethos/work/aims of the school. Appreciate and support the role of other professionals. Attend and participate in relevant meetings as required. Participate in training and other learning activities and performance development as required. GENERAL: The above principal accountabilities are not exhaustive and may vary without changing the character of the job or level of responsibility. The above duties may involve having access to information of a confidential nature, which may be covered by the Data Protection Act. Confidentiality must be maintained at all times. The postholder must be flexible to ensure the operational needs of the College are met. This includes the undertaking of duties of a similar nature and responsibility as and when required, throughout the various work places in the College. The Health and Safety at Work etc. Act (1974) and other associated legislation places responsibilities for Health and Safety on all employees. Therefore, it is the postholder’s responsibility to take reasonable care for the Health, Safety and Welfare of him/herself and other employees in accordance with legislation and the College’s Safety Policy and Programme. Specific details are outlined in the Departmental Safety Policy. Where the postholder is disabled, every effort will be made to supply all the necessary employment aids, equipment or adaptations to enable him/her to perform the full duties of the job. If, however, a certain task proves to be unachievable then job redesign will be given full consideration.
